Privacy Policy

Overview
This Privacy Policy describes how Van Orden Properties, LLC (“Van Orden Properties,” “we,” “us,” or “our”) collects, uses, and shares information when you visit vanordenproperties.com (the “Site”), use our portals for tenants, landlords, and administrators (collectively, the “Services”), or otherwise interact with us. By using the Services you agree to this Policy. If you do not agree, please do not use the Services.
This Policy does not apply to information collected by third parties whose products or services are linked from the Services. Those third parties have their own privacy practices, which we encourage you to review.
Information We Collect
The categories of information we collect depend on how you interact with us:
Information you provide directly
- Account information — name, email address, phone number, mailing address, and the role assigned to your account (tenant, landlord, or administrator).
- Property and tenancy details — addresses of rental units, lease start and end dates, monthly rent and utility amounts, and emergency contact information you choose to provide.
- Maintenance requests — descriptions, categories, photos, and other content you submit when requesting repairs or reporting issues.
- Documents — files you upload such as leases, W-9s, identification, or other materials you choose to share with us.
- Communications — messages you send through our contact forms, by email, by text, or by phone, including metadata such as date, time, and recipient.
Information collected through payments
Payments through the Services are processed by Stripe, Inc. We do not collect or store full payment card numbers, full bank account numbers, or other payment credentials. When you save a payment method or authorize a charge, that data is transmitted directly to Stripe and we retain only non-sensitive identifiers such as the payment method’s brand, last four digits, expiration month/year (for cards), and Stripe-issued reference tokens. For landlords, Stripe collects additional information through its Connect program (including legal name, date of birth, last four digits of Social Security Number, address, and bank routing and account numbers) directly through Stripe’s hosted forms; that information is governed by Stripe’s Privacy Policy.
Information collected automatically
- Device and usage data — IP address, browser type and version, operating system, referring URL, pages visited, time spent, and timestamps of interactions with the Services.
- Cookies and similar technologies — small data files stored on your device. We use cookies for authentication, security, preferences, and basic analytics. See Cookies and Tracking below.
- Authentication and session data — issued by our authentication provider (Google Firebase) to keep you signed in and to detect suspicious activity.
How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Services.
- Collect, process, and remit rent and other payments between tenants and landlords.
- Communicate with you about your account, maintenance requests, lease activity, alerts about your property, and changes to our Services or policies.
- Match tenants with available rentals and landlords with qualified tenants.
- Verify identity, prevent fraud, enforce our Terms of Service, and protect the security of our users and Services.
- Comply with our legal and tax obligations, including required reporting and recordkeeping under applicable property management, landlord-tenant, banking, and tax laws.
- Analyze use of the Services to understand which features are used, troubleshoot problems, and improve quality.
We do not sell personal information, and we do not share it with third parties for their own advertising purposes.
How We Share Information
We share personal information only as described below. Each recipient is bound by either its own privacy policy, a contract with us, or both.
- Between Service users. Information you provide as a tenant (name, contact info, unit, payment status, maintenance requests) is visible to the landlord of your property and to Van Orden Properties administrators. Information you provide as a landlord (name, contact info, Stripe Connect status, payment summaries for your properties) is visible to Van Orden Properties administrators and is referenced in tenants’ communications about their rentals.
- Service providers. We share information with vendors that provide infrastructure and services on our behalf, including:
- Stripe, Inc. — payment processing, Stripe Connect onboarding, and Financial Connections bank verification.
- Google LLC (Firebase / Google Cloud) — authentication, database, file storage, push notifications, hosting of background jobs, and analytics.
- Vercel Inc. — hosting of our marketing Site and portal front-end.
- Resend, Inc. — transactional and operational email delivery.
- Legal and safety. We may disclose information when we have a good-faith belief disclosure is required to comply with a subpoena, court order, or other legal process; to enforce our Terms of Service; or to protect the rights, property, or safety of Van Orden Properties, our users, or others.
- Business transfers. If Van Orden Properties is involved in a merger, acquisition, asset sale, or bankruptcy, your information may be transferred as part of that transaction, subject to standard confidentiality obligations.
- With your consent. We may share information in other ways with your direct consent.
Data Retention
We retain personal information for as long as needed to provide the Services and to satisfy our legal, accounting, and tax obligations. Payment records and lease-related documents may be retained for several years after a tenancy or property management relationship ends to comply with these obligations. When information is no longer required, we delete it, anonymize it, or take steps to put it beyond use.
Security
We use industry-standard administrative, technical, and physical safeguards designed to protect the information we hold. These include encryption of data in transit, restricted access controls, role-based permissions inside the Services, and reliance on reputable providers (Stripe, Google, Vercel) for the most sensitive systems. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for promptly notifying us of any unauthorized use of your account.
Your Rights and Choices
Depending on where you live, you may have certain rights with respect to your personal information:
- Access and correction. You may review and update most account information directly through your portal under Account → Change contact info. For other corrections you can contact us at the email below.
- Deletion. You may request that we delete personal information we hold about you. We will honor such requests except where we are legally required to retain information (for example, for tax recordkeeping) or where retention is necessary to enforce our agreements.
- Marketing communications. You may opt out of marketing emails at any time by using the unsubscribe link in those emails. Operational and transactional messages (rent receipts, maintenance updates, security alerts) cannot be opted out of without closing your account.
- California residents. California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what categories of personal information we collect, request deletion, and opt out of any “sale” or “sharing” of personal information (we do not sell or share personal information as those terms are defined under the CCPA).

Cookies and Tracking
We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Services, and understand usage. You can control cookies through your browser settings — note that disabling cookies may prevent you from signing in or using core portal features. We do not use third-party advertising cookies or cross-site tracking pixels.
Children's Privacy
The Services are not directed to children under 13 and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can delete it.
Third-Party Links
The Services may contain links to third-party websites and services we do not control. We are not responsible for the privacy practices of those third parties. We encourage you to read their privacy policies before providing any information.
International Users
The Services are operated from the United States. If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. By using the Services, you consent to that transfer.
Changes to This Policy
We may update this Policy from time to time. If we make material changes we will notify users by updating the “Last updated” date at the top of this page and, where appropriate, by email or through the Services. Continued use of the Services after a change takes effect constitutes acceptance of the updated Policy.
